1. Who we are
PharmaMatrix Inc. ("PharmaMatrix", "we", "us") is a clinical-stage biotechnology company incorporated in Canada. This Privacy Policy describes how we collect, use, disclose and safeguard personal information submitted through pharmamatrix.com (the "Site").
2. Information we collect
We collect information that you voluntarily provide, including:
- Contact information - name, email, phone, organization, country.
- Health-related information (on-site assistant only) - diagnosis, age, treatment history, and any details you choose to share to support trial screening.
- Inquiry content - messages, the inquiry type you select, and any attachments.
- Technical data - IP address, browser type, device information, and pages visited, collected through standard server logs and minimal first-party analytics.
2a. On-site assistant ("Guide") — agentic data collection
The on-site assistant on this Site (referred to as "Guide") is an AI agent designed to help visitors get accurate, personalized answers about PharmaMatrix, our pipeline, the PMH-001 clinical trial, and how to engage with our team. To do this responsibly, Guide collects and processes the following data each time you interact with it:
- Conversation content — the full text of your messages and Guide's responses, retained to provide continuity within your session, improve answer quality, audit safety, and respond to follow-up requests.
- Session memory — a short rolling summary of your conversation, the audience you selected (e.g. clinician, investor, patient), and an inferred intent label (e.g. "trial inquiry", "investor due diligence", "media") used only to tailor Guide's responses.
- Attribution & device signals — referring website, UTM campaign parameters, landing page, an anonymous browser-scoped visitor identifier, IP address, approximate geolocation (country, region, city), and user agent. We use these signals to understand which channels bring visitors to the Site, to detect abuse, and to measure assistant performance.
- Performance & quality metrics — response latency, tool-use traces, and aggregate weekly clusters of common questions, used to improve the assistant.
- Files you attach — if you drop a document into the chat, the extracted text is stored alongside the conversation so Guide can reference it.
- Escalations & contact details — if you ask to be connected to a human, the name, email, organization, and conversation excerpt you provide are routed to the appropriate PharmaMatrix team.
Purpose. All Guide data is collected for the purpose of serving Site users better — specifically, to answer your questions accurately, to connect you with the right team member, to keep the assistant safe and within scope, and to improve future responses. Guide data is not sold, shared with advertisers, or used to build cross-site advertising profiles.
Important. Please do not share detailed medical records, lab values, images, or other highly sensitive information through Guide — save those for the formal trial screening visit. Treat Guide as an informational tool, not as a clinician or a confidential channel.
Your controls. You can stop using Guide at any time by closing the chat. To request deletion of a specific conversation, email privacy@pharmamatrix.com with the approximate date and time of the session.
3. Sensitive health information
Information submitted through the on-site assistant is treated as sensitive health information. By submitting that form you provide explicit consent for PharmaMatrix and its clinical investigators to use this information solely to assess potential eligibility for current or upcoming PharmaMatrix-sponsored clinical trials. You may withdraw consent at any time by contacting privacy@pharmamatrix.com.
4. How we use information
- To respond to your inquiry and provide the information you requested.
- To assess potential trial eligibility and coordinate with you and your physician.
- To communicate scientific, investor, or media updates that you have requested.
- To maintain Site security, prevent abuse, and meet legal and regulatory obligations.
We do not sell your personal information, and we do not use it for advertising or profiling.
5. Sharing & disclosure
We share information only with:
- Authorized PharmaMatrix personnel and contracted clinical investigators bound by confidentiality.
- Service providers who host the Site or process inquiries on our behalf, under data-processing agreements.
- Regulatory authorities or ethics boards when required by law or trial oversight.
Information may be transferred to and stored in jurisdictions outside your country, including Canada, the United States and the European Union. Where applicable, we use appropriate safeguards such as Standard Contractual Clauses.
6. Retention
We retain inquiry data only as long as needed to fulfill the purpose for which it was collected and to meet legal and regulatory requirements. Trial-screening data is retained in accordance with applicable clinical trial regulations and may be required to be kept for up to 25 years.
7. Your rights
Depending on your jurisdiction (including under PIPEDA in Canada, the GDPR in the EU/UK, and applicable US state privacy laws), you have the right to access, correct, delete, restrict or object to the processing of your personal information, and to data portability. To exercise these rights, contact privacy@pharmamatrix.com. You also have the right to lodge a complaint with your local data protection authority.
8. Security
We use industry-standard technical and organizational measures - including TLS encryption in transit, encrypted storage at rest, access controls, and audit logging - to protect personal information. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.
9. Cookies
The Site uses only strictly necessary cookies and local browser storage to operate, including an anonymous visitor identifier used by Guide to recognize a returning browser within its session. We do not use third-party advertising or tracking cookies.
10. Children
The Site is not directed to children under 18. We do not knowingly collect personal information from minors. Trial inquiries on behalf of a minor must be submitted by a parent or legal guardian.
11. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date above reflects the most recent revision. Material changes will be highlighted on the Site.
